Manage candidates

Profiles, CVs, the talent pool, and data-request handling.

Candidates are the job seekers on your board: everyone who registered an account, applied to a job, or was added by you. This is where you browse them, maintain their profiles and CVs, and handle exports and deletions.

Open the Candidates list

  1. In the sidebar, open Recruiting and click Candidates.

  2. Each row shows the person's name and email, their Applications count, Created and Last update dates, Status (Active) and an Available badge.

Search by name or email, and use the funnel and sort icons to filter and reorder. Sample candidates (yellow badge) disappear from the "sample" state as soon as you edit them; Remove sample data wipes them entirely.

Add or edit a candidate

  1. Click Add candidate (or the pencil icon on an existing row).

  2. Fill in First name, Last name and Email (all required). Emails are unique per board; a duplicate is flagged on save.

  3. Optionally add: Headline (a one-line summary shown in lists, like "Restaurant manager, 8 yrs"), Phone, Location, LinkedIn profile URL, a rich-text Bio and Skills.

  4. Upload a Profile photo (JPG or PNG) and a CV (PDF).

  5. Review the switches:

    • Active: inactive candidates are hidden from default views but kept in the database.

    • Available for work: marks the candidate as open to new opportunities.

    • Verified: shows a verified checkmark next to this candidate in the talent directory.

  6. Click Add candidate (or Save changes).

You get a "Candidate saved" toast; a new candidate opens in edit mode so further saves update the same record.

Tip: Autofill from CV. On a candidate that has a CV attached, an Autofill from CV button appears under the file. It reads the PDF and fills name, headline, location, phone, LinkedIn, bio and skills for you; nothing is saved until you review the fields and click Save. Great for building a talent pool from a folder of resumes.

Where candidates come from

  • Self-registration: job seekers create accounts on your public board; see Candidate accounts. You control the registration form's extra questions with the signup form builder.

  • Applications: applying on-board links the application to the candidate's profile, which is why each row carries an Applications count; see Manage applications.

  • You: added by hand or from CVs, as above.

The talent pool

Candidates who opt in to being listed appear in your board's talent directory, where logged-in employers can browse them. Contact details (email, phone, CV) are only revealed to employers you have granted profile access, which is a sellable perk; see Monetize job seekers. On plans that include the resume database, employers search talent from their portal by keyword, location and verified status. The Available for work and Verified switches above control how a candidate presents there; listing itself is the candidate's own opt-in choice.

Export to CSV

  1. Optionally narrow the list first with search and filters; the export honors them.

  2. Click Export at the top of the page.

Your browser downloads the CSV and a toast confirms the count. Candidates are also readable through the REST API.

Deleting candidates and handling data requests

When a person asks for their data to be removed (a GDPR-style request), deletion here is complete:

  1. Find the candidate (search by email is fastest).

  2. Click the trash icon on their row and confirm.

Deleting a candidate removes the database record and their stored files, profile photo and CV included, so nothing lingers in storage. For bulk cleanup, tick multiple rows and use the Delete button in the bar that appears above the table; a toast confirms how many were removed. If the person only wants a copy of their data, the CSV export plus their CV download covers it.
