Manage applications

Review on-board applications, download CVs, and export to CSV.

Written by Traian

When a job's apply method is set to Form on your board, job seekers apply without leaving your board and every application lands here, in one applicant tracker for the whole board.

Open the Applications page

  1. In the sidebar, open Recruiting and click Applications.

  2. You see a table of all on-board applications, newest first. Priority applications are surfaced at the top.

The Applications page on a new board, with an empty state explaining that applications appear once a job's apply mode is set to Form on your board

On a brand-new board the page is empty and tells you why: "Set a job's apply mode to Form on your board to collect applications here." That is the one switch that turns this feature on, per job.

Start collecting applications

  1. In the sidebar, open Recruiting and click Jobs.

  2. Click the Edit (pencil) icon on the job.

  3. Scroll to How applicants apply and select Form on your board.

  4. Click Save changes.

The public job page now shows an apply form instead of an external link. You can mix modes freely: keep imported jobs pointing at their external apply links while your direct listings collect applications on-board.

What the applicant experiences

Applicants sign in with (or create) a candidate account on your board, attach the CV from their profile, and can add a cover letter. Each candidate can apply to a given job only once; a second attempt is rejected automatically, so you never triage duplicates. If your job-seeker access settings require login or membership for applying, that gating applies here too. New applicants also become rows in Candidates, so your talent pool grows with every application. See Candidate accounts for how the job-seeker side works, and Signup form builder to control what the registration form asks.

Review an application

Each row shows:

  • Candidate: name, email and headline. A gold Priority badge marks applicants who bought priority placement (if you sell it, see Monetize job seekers); those rows always sort first.

  • Job: the listing they applied to, linked straight to its edit page.

  • Applied: the date the application came in.

  • CV: click the CV link to open the attached file in a new tab. The download link is generated on demand and expires after about an hour, so CVs are never publicly reachable.

  • Status: a dropdown you use as your hiring pipeline.

If the applicant wrote a cover letter, a View cover letter link appears under their name and opens it in a dialog.

Track progress with statuses

  1. Open the Status dropdown on the application's row.

  2. Pick one of Submitted, Reviewed, Shortlisted, Rejected or Hired.

The change saves immediately and a "Status updated" toast confirms it. Every application starts as Submitted; the rest is your own workflow, statuses do not email the candidate.

Export to CSV

  1. Click Export in the top right of the Applications page.

  2. Your browser downloads a CSV of the whole tracker. Columns include the application date, job title, candidate name, email and headline, the pipeline status, whether it was a priority application, and the CV file name.

A toast confirms how many applications were exported. The button is disabled while there is nothing to export. Applications are also available programmatically through the REST API, and the application.received event can push each new application to webhooks or Slack, Discord and Zapier the moment it arrives.

Get an email when someone applies

You do not have to keep this page open to catch new applications:

  1. In the sidebar, click Settings (at the bottom), then open General.

  2. Find the Notifications card ("Get an email when things happen on your board").

  3. Under New application, add up to five recipient email addresses and save.

Leaving a category empty simply opts you out of it. The same card also offers Job published, Team activity, Billing alerts, and a Weekly digest.

Screening questions

Employers who use your board's employer portal can build reusable screening questionnaires (short text, paragraph, single select, yes/no and number questions) and attach them to their postings; applicants answer during apply and the employer reviews the answers alongside each applicant in their own portal.
